1. Who we are

SnS Errand Runners ("SnS", "we", "us") operates a vehicle rental marketplace in Ghana. For the personal data described in this policy, SnS is the data controller. We process personal data in line with Ghana's Data Protection Act, 2012 (Act 843) and the principles of the Data Protection Commission, including lawfulness, purpose limitation, data minimisation, and security.

2. Information we collect

Depending on how you use the platform, we may collect:

  • Identity details — full name, date of birth, Ghana Card or passport details, driver's licence (including front/back images), selfie or photo verification, and emergency contact;
  • Contact details — phone number, email address, and residential address;
  • Booking data — booking history, vehicle and dates, pickup location, special requests, and payment references;
  • Payment information — processed by our payment providers; we store payment references and card metadata (such as brand and last four digits), never full card numbers;
  • Consent records — the date, time, and version of the terms and policies you accept at checkout, together with the requesting device's IP address and browser information, kept as evidence of consent;
  • Verification and incident records — KYC review outcomes, vehicle handover photos and videos, dispute and accident reports you file;
  • Vendor data — business documents, vehicle registration, insurance and roadworthiness certificates, and driver/chauffeur details;
  • Technical data — device, browser, and IP information, pages visited, and search queries; and location information where you enable it.

3. Why we collect it

We use personal data to:

  • Create and manage user and vendor accounts;
  • Verify identity (KYC) before self-drive rentals, as required by our safety rules;
  • Process bookings, payments, refunds, and deposits;
  • Share necessary booking details with the Vendor fulfilling your rental;
  • Prevent, detect, and investigate fraud and platform abuse;
  • Provide customer support and resolve disputes, including reviewing evidence in incident reports;
  • Comply with legal obligations, including tax, accounting, and lawful requests from authorities;
  • Maintain safety and security of users, vendors, drivers, and vehicles;
  • Send marketing communications only where permitted or where you have consented — you can opt out at any time.

4. Who we share it with

We share personal data only as needed to run the service, with:

  • Vehicle Vendors — the booking details required to fulfil your rental (never your full payment details);
  • Chauffeurs/drivers, where your booking includes one;
  • Payment processors (currently Paystack) for payments, refunds, and fraud screening;
  • Communication providers that deliver our email, SMS, and WhatsApp messages;
  • Cloud hosting and infrastructure providers that store our systems and data;
  • Insurers and their representatives, in connection with claims;
  • Professional advisers (legal, accounting) under confidentiality;
  • Police, regulators, or other authorities where disclosure is required by law;
  • Fraud-prevention and identity-verification providers.

We do not sell personal data. Where our service providers process data outside Ghana, we take reasonable steps to ensure an adequate level of protection consistent with Act 843.

5. How long we keep it

We retain personal data only for as long as reasonably necessary for bookings, customer support, dispute resolution, fraud prevention, legal compliance, accounting, tax, insurance, and enforcement of our Terms. Payment-related records may be retained for transaction processing, refunds, fraud prevention, and statutory record-keeping. Where data is no longer required, we delete, anonymise, or securely archive it.

6. Your rights

Under the Data Protection Act, 2012 (Act 843), you have the right to:

  • Request access to the personal data we hold about you;
  • Request correction of inaccurate or incomplete data;
  • Request deletion of your data, subject to legal retention obligations;
  • Withdraw consent to marketing at any time;
  • Object to certain processing;
  • Complain to the Data Protection Commission of Ghana if you believe your data has been mishandled.

7. Cookies and similar technologies

The platform uses cookies and browser storage in these categories:

  • Essential — required for the site to function: sign-in sessions, security, your booking in progress, and your cookie choice itself;
  • Preference — remembering settings such as your appearance (light/dark) choice;
  • Analytics — understanding how the site is used, where enabled;
  • Marketing — only where enabled and permitted.

You can control cookies through your browser settings; blocking essential cookies may break sign-in and checkout. A consent notice is shown when you first visit.

8. Security

We protect personal data with encryption in transit and at rest, access controls that limit data to staff who need it, staff confidentiality obligations, restrictions on what Vendors may do with customer data, password protection, fraud monitoring, and an incident-response process. No method of transmission or storage is 100% secure; you are responsible for keeping your password safe and for signing out of shared devices.

9. Children

Our services are intended for adults who are legally able to enter into rental contracts. We do not knowingly collect personal information from children for vehicle rental bookings.

10. Changes and contact
